Supporting Your Journey to Oxford
We provide a complimentary airport transfer service to make your journey stress-free. Our team will be available at London Heathrow Airport to welcome students on arrival and accompany them directly to their Oxford accommodation.
Families receive clear instructions ahead of travel, including meeting points, contact details for our on-duty travel coordinator, and guidance on what to do in case of flight delays. If travel plans change, we work closely with families to make suitable arrangements within our transfer policy and keep communication open until the student has arrived safely and settled in.
At the end of the programme, students will be safely escorted back to Heathrow for their departing flights. With dedicated OSP representatives at both ends of our journey, you can focus entirely on your Oxford summer school experience – confident that every detail is taken care of.

What to Expect on Arrival and Departure
Before travel, families receive full arrival instructions, emergency contact details, and a checklist of what to bring. Upon arrival, students are met in the arrivals hall by OSP staff, luggage is handled, and students are escorted directly to their accommodation where our on-site team welcomes them and helps them settle in.
For departures, we coordinate all timings carefully. Students are supported with check-in, baggage, and security procedures, ensuring no step is missed. We track all transfers and communicate updates to parents, so you’ll know when your child has arrived safely at their destination.
Authorized Pickup Information for Minors
For younger students flying as unaccompanied minors, we provide additional care to make sure their journey feels calm and secure. When a minor is traveling alone, OSP provides Authorized Pickup services to ensure the safety and security of the child upon arrival. This service includes all the necessary documentation, outlining who will be meeting the minor at the airport, including their full name, contact information, and relationship to the child.
Some airlines may also ask the authorized individual to present a valid ID at the time of pick-up for verification. This is an essential step to ensure that the minor is handed over to the correct individual.
For your peace of mind, we make sure that all the necessary documentation is in place, allowing the designated guardian or authorized person to easily meet your child at the airport.

Do I need a visa to attend OSP?
Yes, if you require a visa to enter the UK, you will need one to attend OSP. Some nationalities require ETA, while others will need to apply for a Standard Visitor visa. Please find more information here.
For scholars who do require a visa, our team will provide a visa invitation letter along and guidance to help with the application process.
Do you provide help with visa applications?
Yes, As OSP is accredited by the British Accreditation Council and registered with the UK Home Office, we can issue a Visa Invitation Letter to support your application. This letter will be provided once your deposit payment is received, confirming your place in the programme and facilitating your visa process.
What if my flight arrives late?
Our team monitors all incoming flights for scholars attending the Oxford summer school and will arrange alternate airport pick-up or campus check-in support if your arrival is delayed. Just inform us in advance so we can assist you smoothly.
I'm coming from outside the UK - what should I know before travelling?
International scholars joining OSP receive a detailed Pre-Arrival Guide. This includes visa guidance, what to pack, local weather updates, cultural tips, airport procedures, and important contact information.
When should I arrive for OSP?
Arrival dates will be clearly outlined in your Welcome Pack. Typically, scholars will arrive on 2nd August 2026, settle in and attend orientation activities.
Can you accommodate unaccompanied minors flying alone?
Yes. Our trained staff are equipped to meet unaccompanied minors at the airport gate and escort them safely to the Oxford campus.
OSP also takes care of the Authorized Pickup process for minors.
We provide the necessary Pickup Authorization details to the airline, including the name, contact information, and relationship of the designated person who will meet your child at the airport. The authorized person is required to present a valid ID upon pick-up for verification. We ensure that everything is arranged for a smooth and secure arrival experience for your child.
Do I need a letter of parental consent to travel for the Oxford Scholars Programme?
Yes. All students under 18 who are travelling independently to attend the Oxford Scholars Programme must carry a Letter of Parental Consent. This letter should be signed by a parent or legal guardian, authorising the student to travel to the UK on their own to join the programme.
The document also includes the Oxford Scholars Programme’s official contact information, which can be presented to immigration officers if required during border checks.
A template of this letter will be provided to all registered students once their place in the programme is confirmed.
